New Employee training goes more smoothly if all the materials needed are in place. Ensure that the workspaces are clean, organized, and include any necessary resources or supplies your new hire might need. Here is a checklist of everything required during the training process of a new employee:

 

NEW EMPLOYEE PROCESSING 

 

  • Employee completes Onboarding Steps in Workday including payroll, benefits, and retirement information 
  • Employee completes required training courses 
  • Areas of responsibility (who does what), organization chart

 

PAYROLL AND TIME REPORTS

 

  •  Previous state employment verification and explanation of longevity pay
  •  Paychecks – distribution and direct deposit, pay dates
  •  Rate of pay

 

INFORMATION SYSTEMS 

 

  • Department network and email account/passwords proper protocol 
  • Department Web page 
  • Policy/Rules and Procedure web pages, 
  • System Policies & Regulations 

 

HOURS OF WORK 

 

  • Define workweek – attendance and punctuality expectations 
  • Starting and quitting time Breaks and lunch 
  • Overtime/compensatory time/flex hours 
  • Calling supervisor if unable to work scheduled time or if late arrival 

 

JOB PERFORMANCE 

 

  • Duties and responsibilities – listed on position restrictions in Workday 
  • Performance review – expectations, standards, frequency 
  • Training, professional development, travel opportunities, committee opportunities

 

OFFICE ENVIRONMENT/EQUIPMENT 

 

  • Keys and office security procedures 
  • Telephone service procedures (what to say when answering, when someone is out of the office, directories, frequently called numbers, personal and long-distance calls, transferring calls, placing calls on hold, etc.) 
  • Mail service procedures, location of incoming and outgoing mail 
  • Fire alarm, fire drill, evacuation plans, fire escape procedures 
  • Supplies, business cards, name tags, nameplates 
  • Office equipment (copier operation, FAX machine operation, shredding) 
  • Coffee room/dues, kitchen facilities, soda/snack machines, bulletin boards location/use 
  • Restrooms, water fountain, elevators, stairs, smoking area 
  • Parking locations/rules 

 

RIGHTS AND RESPONSIBILITIES 

 

  • Conduct/appearance/dress code expectations 
  • Housekeeping; sanitation 
  • Bringing visitors to the office/worksite 
  • Care of equipment, personal use 
  • Confidential information and shredding 
  • Changes in name, address, etc. 
  • Where to get information and help 
  • Travel and leave forms 
  • Business card and charge card when appropriate
